This Privacy Notice sets out how XchangeIT processes data, whether on individuals (including personal data in respect of individuals who are users, clients, agents, intermediaries or other third parties that the platform interacts with, or any individual who is connected to those parties) or otherwise. Where the data held are on individuals, this document also sets out the rights of those individuals in respect of that personal data.

This Privacy Notice has been prepared in accordance with the provisions of the EU General Data Protection Regulation (“GDPR”).

Your personal data

When you visit XchangeIT, we may ask you to provide us with certain information in the context of an account opening and/or in order for us to be able to communicate with you about various updates on items placed on the platform and news about our platform in general. You are not obliged to provide us with such information, but if you choose not to, we will not be able to provide you with access to our platform.

XchangeIT processes data in the context of accessing and making use of the platform. The categories of data it may collect and process, according to the particulars of each case and for each user, include:

  • Contact details (including title, names, postal addresses, email addresses, telephone number(s)).
  • Personal information as to interests for notification purposes.
  • Video, audio, photos of items that the user places on the platform.
  • Any other information you may provide.

How we use it

XchangeIT takes your privacy seriously and we will only use your personal information in accordance with our Personal Data Protection Policy, in order to communicate with you about various items placed on XchangeIT and news about our platform. The platform does not collect or process more or less data than what is reasonably required for achieving the purposes for which were collected.

You are not obliged to supply such data, but if you do not, you will not be able to access and make use of the platform.

The purposes for which we collect your personal information are as follows:-

  1. In the context of registration for a new user account.
  2. To comply with a legal obligation to which we may be subject.
  3. To keep you updated about various items placed on the platform and news about our platform.
  4. To receive feedback and follow up on any comments, enquiries and complaints you may have and to resolve any disputes and problems which may have arisen with respect to the use of our platform.
  5. To obtain feedback from you that will help us to promote, improve and/or further the provision of our platform.
  6. To enable us to perform our duties and obligations towards you.
  7. For marketing purposes.
  8. Any other purpose(s) which has been agreed by or notified to you.

Your personal data are safely stored in XchangeIT database. No third party may have access to your data, unless required by law. Your personal data will only be accessed by our employees who are trained to handle personal data promptly and in accordance with the laws. The employees are authorized to access your data under a duty of confidentiality and only for the purposes stated above. The platform strives to protect your personal data by applying high standards of conduct and professionalism for any privacy related matters.

Retention of data

The platform retains personal data for a period of 6 years in accordance with its Data Retention Policy.  After this period, your personal data will be destroyed, unless destruction is prohibited for legal, regulatory or technical reasons.

Any personal data held by us for marketing and update notifications will be kept by us until such time that you notify us that you no longer wish to receive this information.

Use of personal Data in Legal Proceedings

If it becomes necessary that the platform has to take action against you for any reason whatsoever, you expressly agree that the personal data provided by you can be relied upon in identifying and taking legal action against you.

Changes to this Privacy Notice

The platform keeps this Privacy Notice under review in order to ensure that it is in line with any changes to the laws relating to privacy and personal data. Any updates will appear on the platform’s website at https://xchangeitonline.com/.

Your rights

All enquiries in respect of this Privacy Notice or any requests to exercise any of the rights set out above should be sent via email at info@xchangeitonline.com. We will then look at your request or complaint and work with you to resolve the matter.

You may at any time request to see the information you provided and have the ability to rectify it (in case you believe that the information we hold is incomplete or incorrect) you may amend your details through the platform or if you encounter any difficulties in doing so you may contact us at info@xchangeitonline.com.
